We are seeking a detail-oriented Document Digitisation & Administrative Assistant to support the scanning, organisation, and management of records. This role is ideal for candidates who are meticulous, organised, and comfortable handling confidential information in a structured environment.
Key Responsibilities
1. Scanning & Digitalisation of Records
- Verify physical and softcopy documents against inventory lists provided by laboratories or departments
- Digitise documents accurately in line with established naming conventions and file structures
- Perform quality checks to ensure all scanned files are complete, legible, and properly indexed
- Upload and maintain documents in designated shared drives or repositories in accordance with guidelines
- Ensure strict compliance with data protection and confidentiality policies when handling sensitive information
- Liaise with researchers and stakeholders to verify completeness and accuracy of records
- Maintain proper indexing, version control, and archival of digital files
- Support audit, intellectual property, and data governance requirements
- Assist with ad hoc scanning and administrative tasks as required
- Post-secondary education (A-Level / Diploma or equivalent)
- Preferably 1 year of experience in document digitisation, records management, administrative support, or research environments
- Proficient in Microsoft Office (Word, Excel, Teams, SharePoint, OneDrive)
- Strong attention to detail and organisational skills
- Ability to handle confidential and sensitive information with discretion
- Good communication and interpersonal skills
- Able to work independently and meet deadlines
- Familiarity with scanning equipment and document management systems
- Prior experience in research or laboratory environments
