Administrative Officer
6 Months Contract 

We are seeking a proactive and organised Administrative Officer to provide comprehensive secretarial and operational support to the team. This role is ideal for individuals who are detail-oriented, resourceful, and able to manage multiple priorities in a fast-paced environment.

Key Responsibilities
  • Provide general secretarial, administrative, and logistical support to the team/department, including:
    • Meeting scheduling and coordination
    • Preparation of agendas and collation of materials
    • Venue arrangements and virtual meeting setup
    • Tracking of action items and follow-ups
    • Minute-taking
    • Travel arrangements and verification of travel invoices and claims
  • Maintain effective knowledge management and documentation control through regular housekeeping and archival processes
  • Assist in handling requests and queries from internal and external stakeholders
  • Coordinate and organise events, meetings, and engagements across various meeting platforms (e.g., Zoom, Webex, Microsoft Teams)
  • Support scheduling and logistics processing for team activities
  • Manage goods receipt and procurement requests, ensuring compliance, accuracy, and timely fulfilment to support smooth operations
  • Handle other ad-hoc duties as assigned

Requirements
  • Diploma in any discipline
  • 2–5 years of relevant administrative or secretarial experience
  • Proficient in Microsoft Office Suite (particularly Word, Excel, and Teams)
  • Familiar with managing virtual meeting platforms such as Zoom and Webex
  • Strong written and verbal communication skills
  • Good interpersonal skills and ability to work with stakeholders at different levels
  • Highly resourceful, proactive, and result-oriented
  • Strong analytical and problem-solving skills
  • A collaborative team player with strong organisational abilities
