Role Overview
We are seeking a PMO Analyst to provide end-to-end project management office (PMO) and operational support to the Project Manager and Delivery Lead. This role plays a key part in ensuring effective project governance, coordination, reporting, and day-to-day operations across the IT project lifecycle. The ideal candidate is detail-oriented, highly organised, and comfortable working in a fast-paced delivery environment, supporting multiple stakeholders and governance forums.
Key Responsibilities
Project Governance & Controls
- Capture accurate meeting notes, minutes, key decisions, and action items; review and circulate outputs promptly.
- Maintain and regularly update RAID logs(Risks, Issues, Actions, Decisions) in consultation with the project team.
- Support upkeep and periodic updates of the Project Management Plan (PMP) to reflect agreed governance and delivery processes.
- Manage structured storage, version control, and accessibility of all project documentation in line with project and organisational standards.
- Coordinate, consolidate, and support the development of project reports and presentations, including:
- Weekly Status Reports
- Steering Committee (SteerCo) / Project Steering Committee (PSC) decks
- Management updates
- Work closely with functional, technical, and delivery teams to gather inputs, ensure consistency, and maintain presentation quality.
- Support effective communication across stakeholders throughout the programme.
- Coordinate onboarding and offboarding activities for project resources, working with HR, IT, and security teams.
- Maintain a comprehensive resource inventory (roles, skills, allocations, roll-on/roll-off dates).
- Track resource utilisation and provide visibility into upcoming resourcing needs.
- Set up and manage project meetings, schedules, and logistics (meeting rooms, facilities, and materials).
- Support project room and office logistics, including coordination of supplies and operational needs.
- Assist with planning and coordination of workshops, key project meetings, and programme events.
- Provide day-to-day support to the Project Manager and Delivery Lead on task tracking, follow-ups, and coordination.
- Support adherence to agreed project governance, standards, and delivery timelines.
Skills & Experience
- Understanding of IT project lifecycles and common project management methodologies (e.g. Waterfall).
- Strong documentation, note-taking, and summarisation skills.
- Proficiency in Microsoft Excel, Word, PowerPoint, and MS Teams.
- Excellent organisational and coordination skills with the ability to manage multiple priorities.
- Strong communication and stakeholder management skills.
- Experience as an Executive Assistant supporting senior stakeholders is an advantage.
- Prior experience in a PMO or project support role within IT or digital transformation programmes.
- Experience supporting senior governance forums such as SteerCo / PSC meetings.
- Detail-oriented, proactive, and comfortable working in a fast-paced project environment.
