We are seeking a highly motivated and organized Project Coordination Executive to provide key support in the planning, execution, and delivery of cutting-edge research projects. In this role, you will be integral to ensuring projects are completed efficiently—on time, within scope, and on budget. Key Responsibilities
  • Project Management Support: Assist venture building managers in creating essential project documentation, including proposals, budgets, schedules, and plans, in collaboration with councils, entrepreneur partners, CROs, PI/Scientists, and internal departments.
  • Coordination and Collaboration: Act as a liaison between project teams, stakeholders, and departments, ensuring smooth communication and alignment. Collect status reports and metrics, supporting venture building managers with periodic governance updates.
  • Resource Allocation: Ensure timely onboarding of necessary resources, including CROs, consultants, and advisors, to keep projects progressing on schedule.
  • Project Monitoring & Reporting: Track the progress of projects, including mid-term reviews and final project closures. Manage timely input of data into the electronic portal and ensure seamless communication with relevant teams.
  • Record Keeping: Maintain essential records for all project activities, including proof of payment, invoices, purchase orders, service contracts, and management approvals, ensuring compliance and documentation accuracy.
  • Administrative Support: Handle administrative tasks related to project management, including managing service contracts, generating claims, issuing project invoices, and preparing reports.
Qualifications & Skills
  • Educational Background: A diploma in Science, Engineering, or a related field.
  • Experience:   3  years of experience in research project coordination, management, or administrative support roles.
  • Additional Experience: Prior exposure to grant management and working within a research environment would be highly beneficial.
  • Skills:
    • Excellent interpersonal and communication skills for building strong relationships with both internal and external stakeholders.
    • Strong time management skills with the ability to handle multiple tasks, prioritize effectively, and stay organized.
    • Proficiency in Microsoft Office Suite(PowerPoint, Excel, Word), Adobe Acrobat, and a willingness to learn new enterprise software systems.
