Legal Administrator
- 12 months contract role, with potential extension

The Opportunity
- Administrator within the International Corporate Legal Team.
- Maintain corporate documents, internal databases and related records and support administration activities.
- Perform regular corporate tasks, including daily tracking of documents and routing documents for signature and distribution, document filing, and data organization.
- Coordinate with cross functional partners (XFN's), both internal and external to effectively deliver executed legal documentation.
- Support the timely completion of the statutory and regulatory compliance processes, following up on all outstanding matters and/or queries.
- Contribute to design and implementation of process improvements for the benefit of the corporate legal team and XFN partners.
- Coordinate signature requests, arrange for notarising and legalisation of documents.
- Coordinate and follow-up on status with internal and external notaries, as well as external apostille service providers.
- Liaise with other internal departments, counsels and company secretarial service providers.
- Manage the vendor billing process and onboarding matters.
Your Background
- Have at least 1-2 years' paralegal/company secretarial experience in a busy law practice, in-house corporate secretarial department or third-party corporate services provider OR minimum of 5 years general administration experience, ideally in a corporate environment.
- Previous experience in managing international corporate matters (in Singapore or APAC) as a secretary/paralegal within a legal department is an advantage.
- Excellent interpersonal and communication skills with the ability to collaborate effectively with stakeholders at various levels.
- Experience in a large, fast-moving company, working with cross functional teams.
- Be technically strong and exercise good commercial judgment.
- Have an interest in being part of building an international practice.
- Have a strong academic background, excellent communication, organisational and attention to detail skills.
- Proven experience in delivering a project on time, especially to tight deadlines, with the ability to adapt to shifting time expectations.
- Organised and extremely diligent with desire for continuous improvement.
- Excellent computer and analytical skills (MS Office (Word, PPT, Excel), Outlook, Google suite and Diligent software) and an interest in improving processes through IT.
- Ability to work under pressure, remaining calm and effective at all times whilst maintaining excellent attention to detail.
- Ability to apply judgment, problem-solve, and escalate issues to management when they arise.
- Excellent planning, organisational and interpersonal skills.
