Assistant Trust Officer
- 6 months contract

The Client
- MNC Bank
The Opportunity
- Assist the Trust Administration Team in managing client accounts
- Process transactions and billings and taking care of day to day administration
- Responding to requests from clients, outside professionals and Banker/Assistant Banker for execution of transactions or provision of information and clarification
- Ensuring that the trust's data base system contains accurate and up to date information
- Ensure all trust documentation is correctly signed and is logged and placed in the secure vault
- Liaise with the account opening units to ensure new bank accounts are established
- Collection of any outstanding third party bank statements
Client Instructions / Requests / Wishes
- Documentation preparation & execution of transactions authorised by TO
- Tested telex/fax instruction / approval - preparer and initiator (A/P)
- Relevant System Approval (if TSO is an authorised signatory), if not TO
- Daily tracking and reconcilement of client instructions
- Call back / MIFT - reconcilement
- Update notes on 4 series (depending on the tasks)
Corporate / PIC Maintenance Work
- Maintenance of Shareholder / Directors / Officers Register
- Maintenance of Register of Mortgages & Charges
- Registered Office / Government Fees
- Annual General Meetings of shareholders
- Preparation of Directors' Resolutions for the following (to be approved by TO):
- Purchase & Sale of Real Estate / Art Works / Shares of Private companies
- Purchase & Sale of Private Placement Mutual Funds (not publicly traded)
- Loans / Pledge / Credit / Mortgages
- Opening of new bank a/cs and closing of bank a/cs
- Issuance of LPOA or POA to clients, Professional 3rd parties
- Appointment of Property Managers, Portfolio Managers, Lawyers etc..
- Annual Returns & List
Termination
- Account Closing checklist & Termination Process (subject to review by TO)
- Archiving of closed files
Fee Billing
- Follow up & collection of all fee billing
- Payment of billings to 3rd parties / Agents / Lawyers etc.
Vaulting - Lodgement and retrieval Your Background
- Experience within a Trust or Banking environment an advantage
- Good computer literacy (Word, Excel, Outlook)
- Good verbal and written communication skills
- Flexible and prepared to undertake in a variety of functions
- Good time management and organisational skills
- Ability to work under pressure and meet strict deadlines
- High level of accuracy and attention to detail
- Good inter-personal skills
- Good team player
