In charge of Office front desk:
- Answer incoming general telephone calls;
- Attend to visitors and issue visitor pass, handle all incoming/outgoing mails, arrange local and overseas courier and deliveries;
- Manage office conference rooms: ensure meeting facility function smoothly, maintain meeting rooms clean and tidy, report for maintenance if needed;
- Assist with onsite meeting's logistics support eg. order meals and meeting supplies for attendees and arrange seats based on meeting scale;
- Provide general office administrative duties eg. printing, binding, filing, compilation data, maintain office contact and staff list up to date;
- Manage stock of office stationery and pantry supplies;
- Attend to vendor and suppliers for their delivery of services to office and file all service orders.
- Assist Club with drafting internal email communications and coordinate with event registrations when needed.
Act as Commercial Admin Assistant
- Assist Country Commercial Lead for travel booking, calendar management and expenses reimbursement;
- Assist Commercial department for arranging catering services for hospitals and make reservations for events;
- Upload General Service Contracts into Ariba system and retrieve records when needed;
- Assist with purchase process including new vendor creation, raise PO and forward invoice for payment;
- Assist on uploading company news/updates at Singapore Sharepoint;
- Any other ad-hoc duties as assigned by the management.
